Job Description

Office Administrator - Temporary and part-time This position is both temporary and part-time. Interested candidates must intend to complete the assignment which will likely begin in February and end in August. Weekly hours will be between 25-35 per week, Mon - Fri, with each workday starting at 7:30 AM. This position requires having an experienced, working knowledge of Microsoft Products Suite, to perform the daily tasks and duties of a front office administrator. This position reports directly to the HR Manager, but will support the Management Team, Human Resources, and the Forestry Department with daily functions. The position works with confidential, accounting/financial, technical, and clerical information/procedures, which will demand high attention to detail. Duties and Responsibilities Handling all receptionist responsibilities, including professionally answering phones, screening, and directing incoming calls. Complete weekly company timekeeping processes to ensure payroll checks are prepared accurately and on time. Generate various reports and distribute weekly. Update internal tracking systems daily and weekly. Prepare and post internal job notifications. Assist in setting up interview appointments. Present and complete the employee orientation process for each group of new hires. Greet and assist all walk-in visitors, vendors, and/or customers and direct them appropriately. Handle various accounting needs for the office, including reviewing invoices, coverage of insurance, and other types of accounting documents as required. Create, organize, and maintain company records pertaining to production and accounting records. Back up for Production Assistant duties for Forestry and Production, including setting up new vendors as needed, creating, reconciling, and processing purchase agreements and payments for contractors, creating A/R entries for vendors hauling products into the mill, and issuing 'log tickets' daily. Reconcile log tickets daily with log load receipts, input data into the Log Inventory and Management system (LIMS), and track production or exports of the mill and location of the product. Generate production orders; record, compile, and perform system transactions related to production data, material consumption, and other important elements of production. Generate and disseminate production reports. Other duties and responsibilities as needed in support of plant operations and as administratively needed. Education and Requirements/Preferences for the Position: 3-5 years minimum working experience in an office setting required. Accounting or HR experience preferred. Proficient in Microsoft Office Products required - NO EXCEPTIONS. Experience with LIMS/Timber/Manufacturing experience a plus. Ability to interact effectively in a multi-person office environment. Must be highly organized and able to manage multiple tasks at one time. Must be able to give attention to detail. Must be able to contribute positively as part of a team, helping with various tasks/reporting as required. Must have a current driver's license and transportation. High school degree or GED is the minimum educational requirement, as long as other requirements are met. Physical and Safety Requirements Ability to work in an office environment with typical office machinery and sounds. Safely operate assigned tools and equipment. Safely lift and bend. Ability to lift up to 25 lbs. unassisted. Adherence to a consistent hydration schedule. Ability to sit for long periods of the day. Ability to stoop, walk, stand, push, pull, bend, kneel, climb as to demonstrate a range of motion needed to complete assigned work. Must be able to hear, read, and see directions; instructions and/or signals. Clearly communicate safety issues and concerns as they appear.
