Description JOB PURPOSE AND REPORTING STRUCTURE : Reporting to the Director of Operations, the Artistic Operations Assistant is an integral member of the Artistic Operations team, providing support to artistic and operations department activities, and the best possible service to Guest Artists and Guest Conductors, Musicians, Music Director, and Principal Pops Conductor.
ESSENTIAL DUTIES AND RESPONSIBILITIES - Provide the best possible service to orchestra personnel, guest artists and all other constituencies involved with the on- and back-stage experience.
- Assist the Artistic and Operations department staff with various office and administrative tasks. Assist in scheduling of meetings and calendar management for the senior leadership team; prepare agenda topics and distribute meeting minutes as needed. Proof calendars and other scheduling documents.
- Working with the Director of Operations, aid in production logistics for MSO concert presentations, including instrument and equipment acquisition.
- Staff concerts and events, as requested, aiding backstage and/or front-of-house personnel. Provide support for community engagement activities as needed.
- Coordinate travel logistics (busing, hotels, etc.) for musicians.
- As requested by Artistic, Assist with creating and distributing artist itineraries as well as booking travel arrangements, hotel rooms and other miscellaneous details for Principal Pops Conductor and guest artists, and coordinate with the Finance department for timely payment of artist fees.
- Proofread all materials containing programs for artist, musician, and program information (including concert programs and advertisements).
- Ensure that operations supplies are stocked and distribute any special needs to concert duty rotation. Process invoices and credit card reconciliation as needed.
- Other duties as assigned.
CONTACTS WITH OTHERS : This position is integral in communicating with the artistic and operations department employees. In addition, the position includes regular communication and direct contact with guest artists, staff conductors, orchestra musicians, vendors, and volunteers, among others. Interactions should be welcoming with a high sense of customer service.

EDUCATION AND/OR EXPERIENCE : The position requires a Bachelor's Degree, and some experience in arts management or customer service. Strong interpersonal and communication skills.
