The Events Coordinator is responsible for supporting the execution of virtual and in-person including conferences, summits, seminars, webcasts and education courses. They work closely with stakeholders, internal departments, venues, and vendors to meet the objectives of each meeting.

Responsibilities
  • Coordinate event requests to support event registration and promotional activities.
  • Support event logistics including survey development, scheduling, data management & tracking.
  • Production support for virtual events including scheduling.
  • Responsible for tracking and monitoring the progress of assigned events via technology platforms
  • Development of virtual platform.
  • Collaborate with marketing to promote assigned events.
  • Distribute weekly tracking reports and attend weekly meetings to ensure alignment between team members.
  • Manage event logistics and documentation, including processing invoices, developing and tracking speaker contracts, and maintaining accurate event databases.
  • Support marketing in developing promotional plans by providing event-related data (e.g., venue and historical information) and assisting with the distribution of meeting materials to attendees, including via virtual platforms.
  • Coordinate speaker scheduling with event stakeholders, produce live and pre-recorded sessions, and manage virtual platform setup, including design and content uploads.
  • Coordinate virtual event operations by partnering with the Exhibit & Sponsorship team to manage virtual exhibit spaces and sponsorship sales, and collaborating with Marketing on attendee communications before, during, and after the event.
  • Oversee virtual event execution by providing technical and speaker support, managing the support team as the organization's subject matter expert, tracking attendance and revenue, reporting to stakeholders, and identifying opportunities to enhance meeting delivery in line with best practices.
  • Assist the team with projects as needed.

Requirements
  • Bachelor’s degree in Business Administration or a related field or equivalent experience.
  • Kn owledge of virtual event technologies ( monday.com; cvent; on24) required. Hands on experience preferred. 
  • Virtual event production experience.
  • Excellent communications skills and commitment to a service-oriented, team environment. Experience working and providing excellent service to stakeholders, high-level attendees, vendors and volunteers.


The salary range for this position is $50,000 - $65,000.  Compensation offered will be determined by skills, experience, education, job-related knowledge and market considerations.  This role is eligible for an annual incentive plan based on business results and individual performance.
